Dear Exhibitor:

On behalf of NJTESOL/NJBE, I would like to extend to you an invitation to our Spring Conference. NJTESOL/NJBE is a non-profit organization run by educators in the field of English as a Second Language and Bilingual Education. We invite publishers to exhibit at our ANNUAL SPRING CONFERENCE on Wednesday, Thursday, & Friday, May 31, June 1 &, 2, 2017 at the Hyatt Regency New Brunswick, New Jersey.

The Hyatt Hotel accommodates all of our conference needs in one location. Participants will receive professional development credit for time spent reviewing educational materials in the Exhibitors' area. The exhibit area can be visited by participants throughout the day.

All exhibits will be in the form of table top displays. One skirted table and two chairs (a single booth) may be reserved for the fees noted on the attached schedule. All booths will feature an identification sign with two lines of copy stating the company name, city and state. Double booths (2 tables) are available at additional expense as listed in our reservation form. Exhibitors will be able to leave their displays securely overnight, thus alleviating the need to break down displays.

Each single booth will receive vouchers for two lunches per day and each double booth for three lunches per day at our buffet lunch. Additional lunches will be available for purchase for $40.00 per person, per day. To do so, please indicate how many additional lunches you require on the application (please be sure to include the requested days).

Exhibitor space is limited. Exhibit booths and locations are reserved on a first-come basis with completed reservations and payment. Our sponsoring exhibitors will be accommodated first then general exhibitors. No additional floor space will be available due to the size of the facility. It is to your advantage to submit the payment and reservation form well in advance of the May 1, 2017 FINAL DUE DATE in order to get the best possible location. Reservations will be confirmed only upon receipt of payment in full.

There is also an opportunity to place an ad in our conference booklet which is given to all attendees. Advertising space can be obtained by e-mailing a black and white PDF file to Tina Kern, tkern@njtesol-njbe.org, by May 1, 2017. The payment for ads can be included together with your booth fee and completed reservation form. All ads must be in the PDF format and minimum of 300 DPI.

Please note that we are offering a lower fee for those exhibitors that register and pay early. Complete and submit the reservation form and payment by March 3, 2017 and get a discounted price. Exhibitor space is limited. Exhibit booths and locations are reserved on a first-come basis with completed reservations and payment.

Sponsorship opportunities for exhibitors are available for our NJTESOL/NJBE 2017 Conference. This year we have exciting new options which include a variety of inclusive packages offering expanded marketing. Being a sponsor offers a range of benefits and recognition for your company.

To make room reservations, call the hotel directly (732-873-1234) and mention that you will be participating in the NJTESOL/NJBE conference on May 31, June 1 & 2. Exhibitors will have access to the Exhibit area after 3:30 pm on the day before the Conference (Tuesday, May 30, 2017) for set up. Again, we are looking forward to your continued active participation in our annual conference so that our members can become familiar with state-of-the-art materials before they place their orders for the upcoming academic year.

Important Notes:

  • Exhibitor space in the Atrium is limited. "First come/first served" will be strictly observed by date both the application and payments are received. Our sponsoring exhibitors will be accommodated first then general exhibitors.
  • Exhibitors registering after 5/1/17 will not be listed in the conference booklet, on the incentive card, or have an identification sign for their booth at the conference.
  • Electrical outlets will be provided to exhibitors by request to the hotel.
  • $50 Processing fee for cancellations. No cancellations/refunds after May 1st, 2017.
  • If one of your representatives is presenting a workshop, he or she does not have to pay the presenters' fee, but still must follow all of the presenter's guidelines in confirming the presentation day and time.
