Dear Exhibitor:

 

As we are in the holiday season I hope you are all well and ready for the New Year. On behalf of NJTESOL/NJBE, Inc., I would like to extend my invitation again to our Spring conference.

 

We, NJTESOL / NJBE, are non-profit organization run by educators in the field of English as a Second Language and Bilingual Education,  announces the opportunity for publishers to exhibit publications and other educational materials at our ANNUAL SPRING CONFERENCE on Tuesday and Wednesday, May 19 and 20, 2008 at the DoubleTree Hotel and Garden State Exhibit Center, Somerset, New Jersey. The DoubleTree (200 Atrium Drive, Somerset, NJ 08873-4197 Tel: 1-732-469-2600) is situated off Exit 10 of Interstate Route 287, a location which is easily accessible from all parts of the State and which has ample parking space. Additionally, the Double Tree has rooms available for overnight accommodations as well as the Holiday Inn across the street.

 

We will again be utilizing the Garden State Exhibit Center to improve the flow of attendees to exhibition booths.  Participant registration is in the area directly outside the Garden State Exhibit Center (location of exhibitors). The Garden State Exhibit Center offers spacious and dramatic exhibitor space that is well illuminated.  Conference participants will receive professional development credit for time spent reviewing textbooks and other educational materials in the Exhibitors’ area. In order to get this credit, participants will have to punch a time clock when entering and leaving the exhibition area.  

 

The exhibitors’ registration, breakfast, the luncheon, the displays as well as recently added poster session and author’s table will be at the Garden State Exhibition Center. Our organization is working harder than ever to increase the number of educators going to the exhibits. You can help by donating items to be raffled periodically throughout the day and by extending exhibit hours to the entire day, from 7:30 a.m. to 5:00 PM, to permit browsing and purchasing during off schedule times. Please do not breakdown before 5:00pm on May 21st as we would like to encourage participants to visit your booths and many participants come back to claim their prizes at the end of the day.

 

We welcome presentations of materials through workshops. Proposals can be downloaded and/or submitted online from the www.njtesol-njbe.org web site. If you mail your proposal, send it directly to NJTESOL / NJBE c/o Janina J. Kusielewicz, 97 Poplar Avenue, Hackensack NJ 07601 as soon as possible. The date for exhibitors has been extended until January 11, 2008.  

 

Another publicity source is the distribution of items such as nametags, backpacks, plastic bags, folders, pens, calendars etc. This is something we encourage because it is very practical and well received by the participants. Should your organization wish to distribute such items, please complete the contributions section of this application and contact me by phone or e-mail.

 

The exhibitors and attendees alike will receive a ticket voucher for food, which may be used at the Garden State Exhibition Center for their excellent hot and cold buffet lunch.  Breakfast and lunch will be catered by the DoubleTree Hotel. We are offering one complimentary lunch ticket for each reserved exhibit booth for each day. Additional lunches will be available to purchase for $30 per person per day. To do so please indicate how many additional lunches you require on the application.

 

Back and side-draped exhibit booths with one table and two chairs may be reserved for the fees noted on the attached schedule. Each booth will feature a 6' X 24" display table with pleated skirting on three sides; two chairs; and a booth identification sign with two lines of copy stating the company name, its city and state and the booth number. Each exhibit booth will be approximately 9' X 9'. Double booths are available at additional expense. Exhibitors will not have to break down their display overnight.

 

Other exhibitor requirements as well as shipment and storage of materials may be addressed directly to NJTESOL/NJBE Conference.

 

Please complete the attached table reservation form and return it to me with your check by March 15, 2008. Exhibit booths and locations are reserved on a first-come basis. It is to your advantage to submit payment and registration form well in advance of the March 15, 2008 date in order to get the best possible location.. Reservations will be confirmed only upon receipt of payment in full.

 

Even if your organization does not have a representative present at the conference to exhibit your materials, NJTESOL / NJBE recommends that you place an ad in our conference brochure. Since the program will be distributed to each attendee during registration, your organization will be visible to all. Advertising space can be obtained by e-mailing a PDF file ad to Janina J. Kusielewicz at jkusielewicz@njtesol-njbe.org by March 15, 2008. The payment for ad’s can be included together with your booth fee and completed reservation form, which is attached. Fees are also listed on the attached sheet. Checks should be sent directly to my attention.

 

Please consider sponsoring an event or making a donation. All donations and sponsorships will be prominently acknowledged.

 

In addition to the rooms available at the DoubleTree at a special rate on May 19 and 20; the Holiday Inn has also reserved a limited number of rooms for conference attendees. To make reservations call the hotel directly and mention that you will be participating in the NJTESOLJNJBE conference on May 20 and 21, exhibitors will have access to the Exhibit hall after 3 PM on the day before the Conference (May 19, 2008) for set up.

 

Again, we are looking forward to your continued active participation in our annual conference so that New Jersey ESL and bilingual teachers, teacher trainers, administrators and community leaders can become familiar with state-of-the-art materials before they place their orders for the upcoming academic year.
