Spring Conference 2025 – In-Person on May 20, 21, & 22

Dear Exhibitor:
On behalf of NJTESOL/NJBE, I would like to extend to you an invitation to our Spring Conference. NJTESOL/NJBE is a non-profit organization run by educators in the field of English as a Second Language and Bilingual Education. We invite you to exhibit at our ANNUAL SPRING CONFERENCE on Tuesday, Wednesday, & Thursday – May 20, 21 & 22 at the Hyatt Regency Hotel, New Brunswick, New Jersey.
The Hyatt Hotel accommodates all of our conference needs in one location. Participants will receive professional development credit for time spent reviewing educational materials in the exhibitors’ area. The exhibitors’ area can be visited by participants throughout the day.
All exhibits will be in the form of table top displays. One skirted table and two chairs (a single booth) may be reserved for the fees noted on the attached schedule. All booths will feature an identification sign stating the company name. Double booths (2 tables) are available at additional expense as listed in our reservation form. Exhibitors will be able to leave their displays overnight, alleviating the need to break them down.
Both single and double booths are allotted TWO representatives per day. Included in the price of the booths are the continental breakfast and lunch buffets for the representatives. If you wish additional representatives, there is a $99.00 per person, per day fee. There is a maximum of 3 representatives per day for each single booth and a maximum of 4 representatives per day for each double booth. Names of your representatives are due by the conference registration close date, March 28th.
NOTE: Representatives are to attend the full day, splitting of a representative registration during a day is not permitted.
EACH REPRESENTATIVE WILL BE REQUIRED TO CHECK IN and WEAR THE NAME BADGE PROVIDED by NJTESOL/NJBE. If you intend to have different representatives at your booth than those on the reservation form, please contact our exhibitor liaison (exhibitor-liaison@njtesol.org) for approval. Sponsor and General Exhibitor Booth Representatives are not permitted to attend workshops.
Exhibitor space is limited. Exhibit booths and locations are reserved with a completed reservation form and payment. Our sponsoring exhibitors will be accommodated first, then general exhibitors. No additional floor space will be available due to the size of the facility. It is to your advantage to submit the payment and reservation form well in advance of the March 28, 2025 FINAL DUE DATE in order to get the best possible location. We offer early, regular & late rates. See below for the dates and rates. The dates listed are the “receive by” date. Submitting a reservation form without payment will not hold a spot or rate. Requesting an invoice will not hold a spot or rate.
Please note that we are offering a lower fee for those exhibitors that register and pay early. Complete and submit the registration form and payment by January 31, 2025 and get a discounted price. Exhibitor space is limited. Exhibit booths and locations are reserved when a completed reservation form and payment are received by NJTESOL/NJBE.
There is also an opportunity to place an ad in our conference book which is given to all attendees. Advertising space can be obtained by submitting a black and white PDF file using our ad upload link by March 28, 2025. The payment for ads can be included together with your booth fee and completed reservation form. All ads must be in B&W in PDF format and minimum of 300 DPI.
To make hotel room reservations, call the hotel directly (732-873-1234) and mention that you will be participating in the NJTESOL/NJBE conference on May 20, 21 & 22.
Time Schedule – Exhibitors will have access to the exhibit area after 3:30 pm on the day before the Conference (Monday, May 19, 2025) for booth set up.
Your booth should be set up and manned during the following time schedule:
7:30 a.m. each day to approximately 4:30 p.m. on days 1 & 2 and until 3:30 p.m. on day 3 of the conference.

Important Notes:
- Exhibitor space in the Atrium is limited. “First come/first served” will be strictly observed by date both the application and payments are received. Our sponsoring exhibitors will be accommodated first, then general exhibitors.
- **Exhibitors registering after 3/28/25 will not be listed in the conference booklet or on the incentive card.
- $50 Processing fee for cancellations. No cancellations/refunds after 3/28/2025.
